回台請長假英文信範本 從申請獨立學習到回覆曠課信

請假信什麼時候寄 寄給誰？

• 訂機票前：寄第 5 封（先問規定），拿到學校的書面答覆再訂。
• 出發前 2～3 週：寄第 1 封或第 2 封。加州學區常見的規定是短期 independent study 至少提前 5 個上課日申請，各學區不同。
• 收件人：導師（中學寄給每科老師，或寄給 counselor 請他轉）；副本給 attendance office。地址在學校網站的 Staff Directory 或 Attendance 頁。
• 收到曠課信：在信上寫的期限內寄第 3 封。
• 回校前 1～2 天：寄第 4 封。

第 1 封：一週內的請假信

適合 1～2 個上課日、或學校說天數太短不能辦 independent study 的情況。在加州，探親與旅遊不在 Education Code §48205 的正當缺席理由裡，這幾天大多會記成缺席；信的重點是事先告知、把功課安排好。

• Subject: Absence notice – [Student name], Grade [X], [dates]
• Dear [Teacher name],
• I am writing to let you know that [Student name] will be absent from [date] to [date] because our family will be traveling to Taiwan to visit relatives. [He/She/They] will return to school on [date].
• Could you let us know which assignments [Student name] should complete while away, and how to turn them in? We want to make sure [he/she/they] keeps up with the class.
• Please let me know if the school needs any form from us. Thank you for your help.

• 中文說明：第一段說日期與原因、回校日；第二段要作業；第三段問要不要填表。「visit relatives」照實寫就好，不用編造理由。

第 2 封：申請 independent study（三天以上）

加州 Education Code §51747 允許 15 個上課日以內的短期 independent study：簽書面合約、孩子在外地完成老師指定的作業，作業交齊，那幾天就算出席。超過 15 天的長期方案另有同步課程的要求，先問學區能不能用在出國。最低天數、申請期限、學期末不受理的日子都由學區自訂。

• 中文說明：寫明上課日數（不是日曆天）；主動說能上網交作業；請對方告訴你表格與期限。合約要家長、學生、老師簽名，通常還要校長核准。

第 3 封：收到曠課信後的回覆

加州一學年內無故缺席 3 整天（或遲到、中途離開超過 30 分鐘累計 3 次），依 Education Code §48260 就算 truant，學校依法要寄通知。收到曠課信（truancy letter）不代表已被處罰，回覆的目的是留紀錄、說明情況、問下一步。

• 情況 A（有辦 independent study）：[Student name] was on a short-term independent study contract during these dates, and all assignments were turned in on [date]. I have attached the signed contract. Could you please update [his/her/their] attendance record?
• 情況 B（沒辦）：These absences were due to a family trip to Taiwan. [Student name] returned on [date]. We understand the attendance requirements and would like to know how [he/she/they] can make up the missed work. We will plan future trips with the school in advance.
• Please let me know if you would like to meet. I would appreciate an interpreter in Mandarin if a meeting is needed.

• 中文說明：在信上寫的期限內回；情況 A 附合約與交作業的證明；需要開會就去，口譯可以事先要求。

第 4 封：回校前的通知

• Subject: [Student name] returning on [date]
• Dear [Teacher name],
• We are back from Taiwan, and [Student name] will return to class on [date]. [He/She/They] has completed the assignments from the independent study contract and will bring them on the first day. / [He/She/They] will need some help catching up on the work missed.
• Please let me know if there is anything we should do at home to help [him/her/them] catch up. Thank you for your support while we were away.

• 中文說明：回校後幾天登入家長系統，確認那幾天記的是 independent study 或出席，不是無故缺席；記錯就寄信請 attendance office 更正。

第 5 封：訂機票前先問規定

要離開好幾週、或孩子是用跨學區轉學許可、磁性學校、特許學校抽籤進來的，訂機票前先問清楚。州法沒有統一的取消註冊天數，由學區決定。

• Subject: Question about an extended absence – [Student name], Grade [X]
• Dear [Attendance office],
• We are planning a family trip to Taiwan from about [date] to [date], which would be about [number] school days. Before we book our tickets, could you help us with three questions?
• 1. How would these absences be recorded?
• 2. Is there an independent study option for this length of time, and are there any dates when it is not available?
• 3. After how many days of absence would [Student name] be dropped from enrollment, and would [he/she/they] keep [his/her/their] seat at this school?
• We would appreciate a reply by email so we can keep it for our records. Thank you.

• 中文說明：三個問題一次問完，請對方用 email 回並存檔。

附件清單

• 申請 independent study：學校的申請表、來回機票行程（顯示出發與回程日期）。
• 回覆曠課信：簽好的 independent study 合約、交作業的紀錄（截圖或老師的確認信）。
• 因親人生病或喪事回台：學校可能要證明文件，先問要什麼；在加州，直系親屬喪禮屬正當缺席理由，每次最多 5 天（§48205）。
• 所有往來信件：存成 PDF，放在同一個資料夾。

寄出前的檢查

• 主旨有孩子的名字、年級、日期。
• 日期寫成英文格式，例如 March 3, 2027，不寫 3/3，避免跟日月順序搞混。
• 天數寫上課日（school days），不是日曆天。
• 語氣直接、有禮，不用道歉或解釋太多。
• 留電話，並寫明可以聯絡的時間（考慮人在台灣的時差）。

常見問題

• 問：回台探親請假，在加州算正當缺席嗎？答：不算。探親與旅遊不在 Education Code §48205 的正當缺席理由裡，這幾天大多會記成缺席；天數夠的話可以申請短期 independent study，最低天數由學區訂。
